ClubReporter ("we", "us") operates a platform that helps clubs, coaches, reporters, and volunteers create live and final match reports.

• Account data — name, email address, password (stored securely via our authentication provider), account type, and sport preferences.
• Club and match data — club names, team details, player names, fixtures, sponsors, match events, line-ups, scores, and report summaries you enter.
• Usage data — pages visited, features used, device/browser type, and approximate location derived from IP address.
• Communications — messages you send to support and feedback you provide.

3. How we use your data

We use personal data to:

• Provide, operate, and improve ClubReporter.
• Authenticate users and secure accounts.
• Store club, fixture, and match report information you submit.
• Generate and display public match reports where you choose to publish them.
• Respond to support requests and send service-related notices.
• Comply with legal obligations and prevent misuse of the service.

4. Legal bases

Where applicable under GDPR, we process personal data on the basis of contract (providing the service), legitimate interests (security, analytics, and product improvement), consent (where required), and legal obligation.

We do not sell your personal data. We may share data with trusted service providers who help us run the platform, including hosting, authentication, database, and analytics providers. These processors act on our instructions and are required to protect your information.

Public match reports you publish may be visible to anyone with the link. Only share content you are authorised to make public.

6. Retention

We retain account and club data while your account is active and for a reasonable period afterwards, unless you request deletion or we are required to retain records for legal reasons.

7. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing of your personal data, and to data portability. You may also lodge a complaint with your local data protection authority.

We use technical and organisational measures designed to protect your data, including encrypted connections and access controls. No online service can guarantee absolute security.

9. Children

ClubReporter is intended for club administrators, coaches, reporters, and volunteers. Accounts should be created by adults or with appropriate parental or organisational consent where minors' data is recorded in team sheets or reports.

We may update this Privacy Policy from time to time. Material changes will be reflected on this page with an updated "Last updated" date.
